We are committed to protecting and respecting your privacy.  Below is our commitment to you – whether you’re a parent, carer, guardian or a child who is a member of LS29 who accesses our activities, supporter, donor, volunteer, referrer: we’ve outlined below why, and when we obtain and use your personal information, and how we keep it safe and secure.

What type of information do we collect

We only collect personal information (or ‘data’) from those who directly interact with us: parents and carers (and/or those who make enquiries), children who use our services, supporters, donors, volunteers, referrers, and those who use our website.

We are the ‘data controller’ in respect of your personal information, and are responsible for what happens to it, where it goes, and who sees it.

We will never sell your data to third parties for their own marketing needs.

We will only collect your personal data where it is necessary for us to do so, and if it is relevant to our dealings with you.

• Age/date of birth

• Gender

• Contact information including phone numbers/email addresses/postal address

• Names of children/siblings/ages

• Contact preferences

• Emergency contact details

• Images/photographs

In order to best meet the needs of our children and families we support, LS29 also may need to collect and store Special Category Data.

Special Category Data is data that is considered “sensitive personal data” under GDPR and other data protection laws as it could reveal racial and/or ethnic origin, religious beliefs and details of the physical or mental health of the both children and their families.

By providing any sensitive personal data you explicitly agree that we may collect and use it in order to provide our services.

If you do not allow us to process any sensitive personal data, this may mean we are unable to provide all or part of our service effectively.

You can also withdraw your initial application, if you do not wish to become a member of LS29.

16 or Under

We are concerned to protect the privacy of children aged 16 or under. If you are aged 16 or under‚ please get your parent/guardian’s permission beforehand whenever you provide us with personal information.

Volunteers

We’ll only ever use the information you provide, and references from your chosen referees, to:

• Assess and progress your application

• Contact you regarding volunteer opportunities

We will only obtain and use this information, where relevant, to:

• Send communications regarding activities and news whilst you are a member of LS29

• Deliver our services including activities, 

• Progress applications (volunteering, activity ) or any other enquiries

• Process a donation you have made

• Carry out any legal or contractual obligations arising from any contracts entered into by you and us

We will keep your data for personal information for:

• As long as you are an active donor, or fundraiser – and only for as long as necessary after your last interaction with us.

• Up to six years in relation to Gift Aid (in compliance with HMRC regulations)

• Up to seven years if you volunteer with us

• As long as is necessary in relation to children attending our activities

You can opt out of receiving communications from us at any time.

We will only be able to send communications, updates, or information to those who have stated they are happy for us to do so.

You can request to access, change, or delete your information at any time (some restrictions apply in relation to children’s information, that we may be legally required to hold on to for longer).

We will not sell or share your information with third parties unless you have specifically given us permission to do so – for example for monitoring information requested by funders in relation to a grant we have received. 

 

We will not share your information with third parties for marketing purposes.

 

We will protect your personal information by:

• Only keeping it for as long as is strictly necessary

• Securely destroying your personal data after the need for it has expired

• Acting upon any requests to view, change, or delete your information, within 30 days.

 

If you are unhappy with how we’ve handled your personal information, or a complaint you’ve made in respect of this, you have the right to contact the Information Commissioner’s Office.

Your rights

You have the right to:

• Ask what information we hold about you – and be given that information

• Ask us to correct, change, or update any information we hold about you

• Withdraw your consent for us to use your information

• Ask us to delete your information entirely

• Make a complaint or ask any other question in relation to your information
