Our Commitment to You

We are committed to protecting your privacy. Whether you are a parent, carer, guardian, child member, supporter, donor, volunteer, or referrer, this policy explains why and when we collect your personal information, how we use it, and how we keep it safe.

What Information We Collect

We only collect personal information from those who directly interact with us: parents, carers, children using our services, supporters, donors, volunteers, referrers, and website users.

We are the data controller in respect of your personal information, meaning we are responsible for what happens to it, where it goes, and who sees it.

We will only collect data where it is necessary and relevant to our dealings with you. This may include:

  • Name

  • Age / date of birth

  • Gender

  • Contact information (phone numbers, email addresses, postal address)

  • Names and ages of children / siblings

  • Contact preferences

  • Emergency contact details

  • Images / photographs

We will never sell your data to third parties for marketing purposes.


Special Category Data

To best meet the needs of the children and families we support, we may also need to collect and store Special Category Data. This is data considered "sensitive personal data" under GDPR, which could reveal racial or ethnic origin, religious beliefs, or physical and mental health details of children and their families.

By providing sensitive personal data, you explicitly agree that we may collect and use it to provide our services. If you do not allow us to process this data, we may be unable to provide all or part of our service effectively. You may also withdraw your initial application if you do not wish to become a member of LS29.


Under 16s

If you are aged 16 or under, please obtain your parent or guardian's permission before providing us with any personal information.


How We Use Your Information

We will only use your information where relevant, to:

  • Send communications about activities and news while you are a member of LS29

  • Deliver our services, including activities

  • Progress applications (volunteering, activity, or other enquiries)

  • Process donations

  • Fulfil any legal or contractual obligations arising from agreements between you and us

For volunteers, we will only use the information you provide, and references from your chosen referees, to assess and progress your application, and to contact you regarding volunteer opportunities.


How Long We Keep Your Data

  • Active donors / fundraisers: for as long as you remain active, plus only as long as necessary after your last interaction with us

  • Gift Aid records: up to six years, in compliance with HMRC regulations

  • Volunteers: up to seven years

  • Children attending activities: for as long as is legally necessary


Your Choices and Rights

You can opt out of receiving communications from us at any time. We will only send communications to those who have confirmed they are happy to receive them.

You have the right to:

  • Ask what information we hold about you, and receive that information

  • Ask us to correct, update, or change any information we hold

  • Withdraw your consent for us to use your information

  • Ask us to delete your information entirely

  • Make a complaint or raise any question about your information

We will act on any requests to view, change, or delete your information within 30 days.

We will not share your information with third parties for marketing purposes. We may share information with third parties only where you have given specific permission, for example where funders require monitoring information in relation to a grant we have received.

If you have a family member up to the age of 30 with additional needs and live within 8 miles of Ilkley, you are eligible to join us.
